Terms of Service
Welcome to Galactic Hosting. These Terms of Service (“Terms”) govern your use of our Discord bot hosting services. By creating an account or using our services, you agree to comply with these Terms in full. If you do not agree, you must discontinue use immediately. Violation of these Terms may result in suspension, termination, or a permanent ban from our services.
For customers using any AI-enabled features, please review the supplemental AI Usage Terms. That addendum explains specific responsibilities, data handling expectations, and compliance requirements that apply in addition to the base Terms outlined below.
Eligibility
You must be 13 years of age or older to register and use our services.
Your usage must comply with Discord’s Terms of Service and Community Guidelines.
Bots or applications that violate the Terms of Service of third-party platforms are strictly prohibited.
Account Ownership and Security
Accounts are tied to the original Discord ID used at signup.
You are solely responsible for maintaining the confidentiality of your login credentials.
Account sharing, transfer, or resale is strictly prohibited.
We are not responsible for disputes regarding account ownership.
Hosting Resources and Limits
Users may create unlimited servers, subject to the following global account-wide limits:
RAM: 1500 MB Disk: 4000 MB CPU: 180%
Resources are pooled across all servers. For example, if one server uses 1000 MB RAM, only 500 MB remain available across all other servers.
No further servers can be created once the account’s resource limits are fully allocated.
Excessive usage or abuse of shared system resources may result in throttling, suspension, or termination.
Prohibited Uses
You may not use Galactic Hosting to:
○ Illegal activities under Australian law, the laws of your country, or international law.
○ Harassment, hate speech, or discriminatory behavior.
○ Spamming, DDoS attacks, phishing, or botnet activities.
○ Upload or run malware, ransomware, viruses, or any malicious software.
○ Exploit vulnerabilities, bypass system restrictions, or abuse free-tier limits.
○ Host bots that infringe on intellectual property rights (e.g., copyright infringement, pirated material).
○ Or anything that falls under our rules tab on discord.
Service Availability and Reliability
We do not guarantee that our services will be available without interruption or error. Scheduled maintenance, emergency downtime, or technical failures may occur. Features may be modified, restricted, or discontinued at any time. In urgent cases (legal obligations, abuse prevention, or security vulnerabilities), we may suspend services immediately without prior notice.
Data Collection
8.1 What we collect To operate, secure, and improve the service, we collect and store the following categories of data:
• Account & Identity: email address; Discord User ID (externalId); optional profile fields provided by you or Discord such as username, display name, avatar/image, and nickname; your role on our platform (e.g., “Client”); account creation time and latest login time. • Network & Security: IP address (for account security, fraud/abuse prevention, and audit logs). • Authentication & Sessions: OAuth account linkage details (provider, provider account ID) and OAuth tokens/metadata as required to provide sign-in and API access (e.g., access_token, refresh_token, expires_at, scopes, session tokens). These are stored securely and used only for authentication and platform functionality. • Hosting Resources & Config: your personal resource pool/limits (RAM, Disk, CPU), per-server allocations and status, node assignments, server identifiers and platform IDs (e.g., ptero IDs), and feature settings you choose (auto-restart, custom startup command, alerts, dashboards, and UI preferences such as theme/layout). • Notifications & Alerts: your notification preferences (Discord/email), optional notification email, alert thresholds (CPU/RAM/Disk), alert delivery channels and timing, and alert/event logs (e.g., “offline”, “starting”, “high_cpu”) including the resource values that triggered an alert and when they were sent/resolved. • Tickets & Support: support tickets you open, including title, description, category, priority, and status; messages you or staff send in tickets; related Discord channel/thread/message IDs used for support; and generated transcripts (HTML and plain text) that may include your communications. • Verification & Security Codes: verification tokens and 2FA codes (where used) with expiry timestamps for secure flows (e.g., sensitive actions like server deletion). • Service Telemetry: high-level operational logs necessary to maintain uptime, performance, and security.
8.2 How we use your data We use the above data to: • Provide core hosting features (sign-in, server creation and management, resource allocation, alerts/notifications). • Prevent, detect, and investigate abuse, fraud, and platform misuse. • Troubleshoot issues and provide customer support (including limited access to server/instance metadata and logs when required). • Improve platform safety, reliability, and performance. • Comply with legal obligations and law-enforcement requests.
8.3 What we don’t do • We do not sell your personal data. • We do not use your OAuth credentials for any purpose other than authentication and the features you enable (e.g., Discord notifications). • We do not access the contents of your servers (files/console) except where strictly necessary for security, abuse investigations, or at your request for support.
8.4 Legal basis & jurisdiction We operate under Australian law, including the Privacy Act 1988 (Cth). Where applicable, we consider international requirements for users outside Australia. You are responsible for ensuring your own compliance with your local laws.
8.5 Service Notifications By using Galactic Hosting, you agree that we may send you essential service-related communications such as server status alerts, system downtime notifications, security warnings, and account updates. These notifications are considered part of the core functionality of the service and are not promotional in nature. Users may manage optional notifications (e.g., Discord alerts or non-critical emails) in their account settings where available.
8.6 Data retention • Suspended servers are automatically deleted every Monday at 4:00 PM AEST and cannot be recovered. • Ticket transcripts are retained only as long as necessary for support; where an explicit expiry is set, they are automatically deleted after that period. • Authentication/session data and security logs are retained for reasonable periods necessary for account integrity and legal/audit purposes. • You may request account deletion; we will remove or de-identify personal data that we are not legally required or operationally compelled to retain.
8.7 Sharing and disclosure We may disclose data if required by law, court order, or government request, or to protect the rights, property, or safety of Galactic Hosting, our users, or the public. We use trusted sub-processors (e.g., hosting, email, analytics) under appropriate agreements.
8.8 Security We use reasonable technical and organizational measures to protect your data (e.g., access controls, token storage hygiene, limited staff access). However, no system is perfectly secure.
Suspension and Termination
Accounts may be suspended or terminated at our discretion for violations of these Terms. Severe or repeated violations may result in a permanent ban from all services. We may also suspend or terminate services for reasons outside user violations, such as legal obligations, policy changes, or system restructuring.
User Responsibility
You are fully responsible for the actions of your hosted bots.
Hosting bots that promote illegal activity, hate speech, harassment, copyright infringement, or malicious content is prohibited. You agree to indemnify and hold Galactic Hosting harmless against any claims, damages, or losses resulting from your use of the service.
Liability and Legal Disclaimer
Use of galactic hosting at your own risk.
We are not liable for:
Downtime, outages, or disruptions
Loss of data, credits, or server configurations
Financial losses, damages, or claims resulting from the use or misuse of our platform
No warranty, express or implied, is given regarding service availability, performance, or stability.
This limitation of liability applies to the fullest extent permitted under Australian Consumer Law (ACL) and relevant international consumer protection laws.
Refund Policy & Third-Party Services
Galactic Hosting is a free platform. No refunds are provided for credits, upgrades, or other features. Where applicable, refunds will only be issued if required under Australian Consumer Law or other.
Our services may rely on third-party APIs and platforms (e.g., Discord, YouTube). We are not responsible for disruptions caused by changes, restrictions, or downtime of these platforms. You must comply with the Terms of Service of any third-party services you interact with through our platform.
International and Jurisdictional Compliance
Users are responsible for ensuring compliance with the laws of their country. Galactic Hosting operates under Australian law and is subject to the jurisdiction of New South Wales, Australia. If any part of these Terms is found invalid or unenforceable in any jurisdiction, the remaining provisions remain valid.
Modifications
We reserve the right to amend these Terms at any time. Updated versions will be posted publicly with a new “Last Updated” date. Continued use of the service constitutes acceptance of the updated Terms.
