We collect basic account information needed to run our platform: • Discord User ID (externalId)
• Email address (if provided)
• Username, display name, avatar, nickname (from Discord)
• Your role on the platform (e.g., “Client”)
• Account creation time and last login time

1.2 Network & Security​

• IP address
• Security logs and audit trails used for abuse detection and system protection

1.3 Authentication & Sessions​

We store secure session and OAuth details to provide login and platform functionality: • OAuth provider details (Discord)
• Provider account ID
• OAuth tokens/metadata (access_token, refresh_token, expiry timestamp, scopes)
• Session tokens

These are stored securely and only used for authentication and platform features.

1.4 Hosting Resources & Configuration​

• Your account resource limits (RAM, Disk, CPU)
• Per-server allocations and usage
• Node assignments
• Server and platform IDs (e.g., ptero IDs)
• Feature settings (auto-restart, custom startup commands, alerts, notifications, UI/theme preferences)

1.5 Notifications & Alert Data​

• Notification methods (email/Discord)
• Custom alert thresholds (CPU/RAM/Disk)
• Logs of alerts sent (offline, high CPU, restart)
• Alert timestamps and status (triggered, resolved)

1.6 Support Tickets​

• Ticket titles, messages, categories, priority, status
• User and staff messages
• Discord thread/channel/message IDs used for ticket handling
• Ticket transcripts (HTML or text)

1.7 Verification & Security Codes​

• Verification tokens and codes
• Expiry timestamps
• Logged actions for sensitive tasks (server deletion, account actions)

1.8 Service Telemetry​

• Operational logs required to maintain uptime, security, and performance
• Non-content meta information used only for running the service

2. How We Use Your Data​

We use your data to: • Provide hosting features (login, servers, alerts, resource allocation)
• Secure the platform and prevent fraud/abuse
• Troubleshoot and provide customer support
• Improve performance and reliability
• Comply with legal obligations and law enforcement requests

We do not sell your data.

3. What We Don’t Do​

• We do not sell or trade your personal information
• We do not use OAuth tokens for anything outside login and features you enable
• We do not access server files or console unless:

• you request support, or
• it is required for security/abuse investigations

4. Legal Basis & Jurisdiction​

Galactic Hosting operates under Australian law, including the Privacy Act 1988 (Cth).
International users must ensure they follow their local laws.

5. Service Notifications​

By using the platform, you agree we may send essential system alerts such as: • Server status notifications
• Outage and downtime alerts
• Security warnings
• Account updates

Optional notifications (Discord/email alerts) can be managed in your settings.

6. Data Retention​

• Suspended servers are automatically deleted every Monday at 4:00 PM AEST
• Ticket transcripts are kept only as long as required for support
• Authentication/session data and security logs are retained for reasonable security/audit periods
• If you request account deletion, we remove or de-identify all data not legally required to be kept

7. Sharing & Disclosure​

We may disclose information: • If required by law or court order
• To comply with government or law enforcement requests
• To protect the rights, safety, or security of Galactic Hosting or users
• To trusted service providers (hosting, email, logging, analytics) operating under strict agreements

We do not share your data with advertisers or for marketing purposes.

8. Security​

We apply reasonable security measures including: • Access controls
• Secure token storage
• Limited staff access
• System monitoring

No system is perfectly secure, but we take appropriate steps to protect your data.

9. User Responsibility​

You are responsible for: • Keeping your login details secure
• Ensuring your bots follow Discord’s Terms of Service
• Ensuring your usage complies with our TOS and relevant laws

10. International Use​

Galactic Hosting is governed by the laws of New South Wales, Australia.
Users outside Australia must ensure their own legal compliance.

11. Modifications​

Updates will be posted with a new “Last Updated” date.
